Export-Import Entourage
Entourage 2001 version [v1.2.8]
Part II
¥ Outlook
Outlook and Outlook Express Windows / Yahoo / Hotmail / MSN
Have a copy of this document on both your Mac and your PC. You may need to consult it when setting up and exporting from both Entourage and Outlook. But first open it in MS Word and Save As a Word Document or RTF. It will be almost unreadable on a PC if you bring it over as .txt: no carriage returns and no formatting.
¥ Messages
¥ Contacts, Calendar, Tasks, Notes
¥ Outlook Windows
¥ Outlook 2001 for Mac
¥ Outlook Express Windows
¥ Yahoo/Hotmail/MSN
¥ Details
Note: The Outlook Converters provided here are not compiled scripts, like the Entourage scripts, but script applications. They do not go into any script menu. All the Outlook Converters are "droplets": you drag and drop the relevant file onto the script icon, and the script runs and converts the file, or you can double-click them and find the file when asked.
The Outlook converters Ñ both Export and Import Ñ do everything needed. No extra manipulations are needed. Keep them all in the same subfolder Ñ Outlook Converters 2001 Ñ so that the Reset Outlook Dialogs 2001 script can find them easily if required.
Satimage osax
To use the Outlook Converters, you must first install the Satimage scripting addition provided in the Outlook Converters folder: put it into the Scripting Additions folder in the System Folder. It will allow the converter scripts to adapt "special" characters from Macintosh to Windows and vice versa, so that accents, umlauts, quotation marks, etc. are not mangled when switching platforms.
Messages
These scripts do not transfer Messages directly to and from Outlook and Entourage. They can't, because Outlook does not export message folders as text or CSV files with their full headers: they cannot be re-constituted as messages. They are just message bodies with subjects. Similarly it can't reconstitute full messages from text or CSV files.
You can transfer messages from Outlook to Entourage and vice-versa via an IMAP account, or via Eudora Windows. IMAP is the best way, as it preserves attachments, which the Eudora method doesn't, but may not be feasible if you have a lot of mail and are not on Exchange Server.
IMAP
If you are using Outlook Ñ whether any of the Windows versions or 2001 for Mac Ñ at work with an Exchange Server, ask your System Administrator to set up your email account(s) with IMAP access. Keep all your mail folders, sent mail, etc., on the server and access them from Entourage as you would any IMAP account. If you have Outlook without Exchange Server on an individual PC, then use a free IMAP account and set it up both in Outlook and Entourage. (You can get a free mac.com IMAP account at the iDisk tab of Apple's website, setting it up first on your Mac with iDisk. If you need more than the 5 MB Apple gives you free, you can rent more space from Apple.)
¥ Drag-copy messages from your exporting program to similarly-named IMAP server folders.
¥ Go to your other computer, access the the same IMAP account.
¥ If importing from Outlook to Entourage, select all messages in each server folder (select one and press command-A), then in the Message menu select "Receive Entire Message". Wait for it to finish. (You may have to do something similar in Outlook if importing there.)
¥ Drag-copy messages from the server folders to similarly-named local folders
¥ If necessary, delete messages from server, go back to the exporting program and repeat the process until done.
¥ If importing from Outlook to Entourage, all your messages originally in RTF format (not plain text or HTML) will have 'winmail.dat' attachments. Usually those will just be the unreadable and unnecessary RTF encodings. But if the message had real attachments, they too are bundled into this winmail.dat and not accessible. Get the free program TNEF's Enuf at http://www.versiontracker.com, which will open the winmail.dat files.
¥ Optionally, delete the IMAP account - or keep it!
Eudora
Alternatively, if you have hundreds of MB of messages, use Eudora (free "sponsored" version) as an intermediary.
NOTE: It is essential with the Folders Export from 2001 script that you have previously applied the Office 2001 Service Release 1 updater, which you can get free at
http://www.microsoft.com/mac/downl [...] 01/sr1.asp
There is a bug with the pre-SR 1 version of Entourage 2001 that the exported mbox-folder files will not import correctly into any other email program, namely Eudora Windows, nor will mbox files exported by Eudora be importable into pre-SR 1 Entourage.
NOTE: The older Eudora 5.1.1 is no longer available as a download. Eudora 5.2 has changed its mailbox storage, which Outlook cannot find. So the transfer process now requires one more major step - Outlook Express Windows.
Outlook Windows to Entourage 2001:
¥ If you don't have Eudora Windows, download v5.2.1 or later from http://www.eudora.com. Let it install it to its default location at C:\Program Files\Qualcomm\Eudora\.
¥ Open both Outlook and Eudora. (If you have ever used Eudora, make sure that you have its MAPI setting to "Never", which is the default.) Do not make Eudora your default email client if asked.
If you have Eudora 5.2.x:
¥ In Windows, go to Start/Settings/Control Panel. Double-click Folder Options folder or select Tools menu/Folder Options. Click View tab. Click to turn on "Show hidden files and folder", under "Hidden Files and folders" if it is not already selected (black dot). Click Apply, then OK. Close Control Panel.
¥ Open Outlook Express (Start/Programs/Outlook Express). Go to File/Import/MessagesÉ Select Microsoft Outlook. Select the Profile if you have more than one. Click OK. Click Next. Select All Folders, or just the Folders you want to export. Click Next. Outlook Express will import the messages.
¥ Open Eudora. Go to File/Import, choose Outlook Express, check Import Mail checkbox, uncheck Import Address Book entries. Click Next. Eudora will import all your mail folders as Eudora Mailboxes in an Outlook Express subfolder.
¥ Close Eudora, and go to C:\Documents and Settings\[your UserName]\Application Data\Qualcomm\Eudora\Outlook Express.fol\ . You will see all the mailboxes you exported as .mbx files.
[ OR If you have Eudora 5.1.x:
¥ Open Eudora. Go to File/Import, choose Microsoft Outlook, check Mail checkbox, uncheck Address Book. Eudora will import all your mail folders as Eudora Mailboxes in an Outlook subfolder.
¥ Close Eudora, and go to C:\Program Files\Qualcomm\Eudora\Microsoft Outlook.fol\Outlook fol.\ . You will see all the mailboxes (your former Outlook folders) as .mbx files.]
Both Eudoras:
¥ Copy all the .mbx files to (a new folder on) your desktop. Burn them to CD, copy to Zip disk, or zip the folder and email it to your Mac. Copy or save the folder and files to your desktop or other hard disk location (important - especially if on CD).
Note: You cannot drag these .mbx files into Entourage 2001 as you can with Entourage X, not even by changing the extension. You must first use the MBOX script:
¥ Select, drag and drop the .mbx files a few at a time onto the Outlook Folders to MBOX 2001 script in the Outlook Converters folder. It will take care of file type, and message demarcation conversions, and convert the .mbx files to MBOX files with Entourage icons. You still have to be careful with enormous MBOX files which might time out: give the script lots of memory just as you would with any application (Get Info in the Finder), or if need be, go back to Outlook and export smaller mail folders.
¥ Now drag each MBOX file to the ÒFolder ListÓ bar to make a top-level folder, or into another folder to make a subfolder. All your messages will be there. Your HTML and ex-attachment messages will be complete as well. (Every HTML message, and every message that originally had an attachment -which Eudora strips out - would be completely blank without the script.)
¥ But plain-text messages that formerly had attachments will appear with without any carriage returns, just running on. Select Make Plain Message 2001 submenu item in the Scripts menu (Export-Import 2001 main menu item) or just press control-option-P ("P" for "Plain" ). It will restore carriage returns and open the message. If you see any odd "special" characters in any imported messages, go to Format menu, and select Character Set/Western European (Windows). They will be put right.
You will not have attachments via this method (Eudora has removed them). If the files are needed you can find them in the Eudora folder in the Application Data folder.
Outlook 2001 Mac to Entourage 2001:
Eudora Mac 5.2.1 and 5.1.1 do not import from Microsoft Outlook 2001. So, export your message folders as .pst files into Outlook Windows on a PC, then follow the instructions above exactly.
Entourage 2001 to Outlook Windows:
NOTE: The older Eudora 5.1.1 is no longer available as a download. Eudora 5.2 has changed its mailbox storage, which Outlook cannot find. So the transfer process now requires one more major step - Outlook Express Windows.
¥ If just exporting a few folders, you could just drag them from Entourage to your desktop. But then you'd end up with a lot more incorrect characters on Windows, would have to alter file extensions correctly, and might lose line endings. Instead, use Folders Export from 2001 script to export folders as MBOX files, choosing the (new in v1.1) "Eudora Windows (and onward)" format in the second dialog. Do NOT choose "Unix" or "Mail for OS X" options.
¥ If using the script, the MBOX files will be properly formatted as Eudora .mbx files. You must leave that extension in place. If you dragged the folders rater than using the script, add an .mbx extension to each mbox file.
¥ Move all the .mbx files to a new folder on your desktop. Burn them to CD, copy to Zip disk, or zip (with DropZip, not stuff with DropStuff or Entourage) the folder and email it to your PC. Copy or save the folder and files to your desktop or other hard disk location (important - especially if on CD).
¥ On your PC, if you don't have Eudora Windows, download v5.2.1 or later from http://www.eudora.com. Let it install it to its default location at C:\Program Files\Qualcomm\Eudora\. Open Eudora, without making it default, (make one or two messages if you like) and quit it.
¥ On your PC, unzip the folder you brought over, if zipped. (If you did not use Folders Export script but dragged, then now you must change the file extension of every mbox file to .mbx . If you used the script, they already have the .mbx extension and will appear with the Outlook mailbox "mail tray" icon.)
¥ Go to C:\Documents and Settings\[your UserName]\Application Data\Qualcomm\Eudora\ . (If you prefer just double-click the Eudora shortcut folder in C:\Documents and Settings\[your UserName]\ and you get to the same place.) Drag in all the .mbx files, which should now appear with the Eudora mailbox icon. Do not drag in the folder in which they came - drag them in loose into the Eudora folder.
¥ Open Eudora (the program) in Start/Program Files. Do not make Eudora your default email client if asked. Double-click on each and every imported mailbox until you see the messages appear - important. This gets Eudora to make its .TOC (table of contents) file for each mailbox, and is essential. Then quit Eudora if you wish.
¥ Open Outlook Express (Start/Programs/Outlook Express). Go to File/Import/MessagesÉ Select "Eudora Pro or Light (through v3.0)". Click Next. Click Browse button. Browse to C:\Documents and Settings\[your UserName]\Application Data\Qualcomm\Eudora\ . Click OK. Outlook Express will import all the mailboxes from Eudora into its Local Folders main folder. Quit Outloo Express.
¥ Open Outlook, go to File / Import and Export / Import Internet Mail and Addresses / Outlook Express 4.x/5. Check Import Mail. Uncheck Import Address Book and Rules.. Finish. All the message folders will appear in Outlook's folder bar as a subfolder of Outlook Today, merging with exiting folders of the same name.
[ OR If you have Eudora 5.1.x:
¥ Open Outlook, go to File / Import and Export / Import Internet Mail and Addresses / Eudora (Pro and Light) 2.x, 3.x, 4.x. Check Import Mail. Uncheck Import Address Book. Finish. All the message folders will appear in Outlook's folder bar.
If you have any problems exporting from Eudora to Outlook, first make sure that you have used Eudora 5.1.1 and not a later version with this method, or use the 5.2 method above, exporting from Eudora to Outlook Express, and then from Outlook Express to Outlook.]
Entourage 2001 to Outlook 2001 Mac:
If Microsoft Outlook 2001 will import from Eudora Mac (I can't check at this point - check the File/Import and Export menu item to inspect), then use Folders Export from 2001 script to export folders as MBOX files, but choose TEXT as for Eudora Mac. Do NOT choose "Unix", "MBOX", "Eudora Windows" or "Mail for OS X" options. Install Eudora Mac for Classic OS 8/9 in OS 9. Drag the text files into the Mail subfolder in the Eudora folder in the OS 9 Documents folder where you see the other Eudora mailbox files. Do not drag in the containing folder, just the text files. Open Eudora, select each mailbox in the Mailbox menu in turn (important! this is when Eudora makes its TOC - table of contents - files), then quit Eudora, open Outlook, and import Mail from Eudora (if you can). If you can't do this, you'll have to follow the directions above for Outlook Windows, exactly, then simply export your mail folders as .pst files (Personal Folders), and import them into Outlook 2001 (Tools/Services/Personal Folders).
Contacts, Calendar, Tasks, Notes
The scripts here transfer Contacts, Calendar, Tasks and Notes from Outlook to Entourage, and from Entourage to Outlook.
Steps for Outlook Windows, Outlook 2001 for Mac, Outlook Express Windows, and Yahoo/Hotmail/MSN follow separately below. A Details sections with more info follows the steps sections. Some information in the Details section of the Entourage-to-Entourage section in Part I may also be of interest.
!! You should always compress (zip or stuff) the .csv and .txt files you send by email, or the "special" characters may get mangled by a mail server. Although the Outlook to Entourage converter scripts can cope with line endings that may get changed from Windows to Mac type, they will not be able to handle the mangled characters. Worse Ñ when sending from the Mac to PC there is no script at the other end to fix line endings for you, and you may not be able to import properly into Outlook.
!! If you bring over the .csv or .txt files by CD, you must first copy the files to your Mac's hard disk and then drag the hard disk copies to the Converter scripts. You can't drag the files from the CD directly to the converters: CDs are locked so their files can't be modified by script.
Outlook
4 Steps to Export from Outlook Windows (2000, XP, 97, 98) to Entourage
Install Satimage scripting addition on your Mac the first time you do this.
1. Go to File --> Import and Export in each of the Contact, Calendar, Tasks and Notes Folders in Outlook (or subfolders if you wish to export only a subset), and select Export to a File --> Comma Separated Values (Windows). Click the "Default Mapping" button when it comes up in the Export Wizard.
2. (Optionally zip the .CSV files produced with WinZip). Email the .CSV files, or bring them by Zip disk, to your Mac. Unzip.
3. Drop each CSV file on the appropriate Outlook Contacts, Calendar, Tasks or Notes to E2001 script droplet in the Outlook Converters folder. This converts the .csv file to a .txt file with all the needed adaptations. If importing from a non-English version of Outlook, take the "Built-in Import" option.
4. Run any or all of the Contacts, Calendar, Tasks and Notes Import into 2001 scripts. See Entourage-to-Entourage section above. If importing from a non-English version of Outlook, use Entourage's Built-In Import Contacts feature in File menu, not the Import Contacts script, then run Apply Category to Contacts and Delete Duplicate Contacts after importing.
6 Steps to Export from Outlook 2001 for Mac to Entourage
Contacts (this method loses Notes)
1. Go to File -->Import and Export, and select Export Contacts to a Macintosh Text file.
3 - 4 as above for Outlook Windows
Contacts, Calendar, Tasks, Notes
You need access to an Outlook profile on a Windows PC.

4 Steps to Export from Outlook Express Windows (5.x, 6.x) to Entourage
Install Satimage scripting addition the first time you do this.
1 - 4 as above for Outlook Windows, Contacts only, starting from the OE Address Book.
You can use either the Import Contacts into X script, or Entourage's Built-In Import Contacts feature in File menu followed by Apply Category to Contacts and Delete Duplicate Contacts after importing, as you wish.
4 Steps to Export from Entourage to Outlook Express Windows (5.x, 6.x)
Install Satimage scripting addition the first time you do this.
1 - 4 as above for Outlook Windows, Contacts only, importing into the OE Address Book. (Ignore reference to "Contacts Folder" in Outlook instructions.)
Yahoo / Hotmail / MSN
3 Steps to Export from Entourage to Yahoo and Hotmail/MSN
Install Satimage scripting addition if if you've not done so previously.
1. Run the Calendar (Yahoo or Hotmail) or Contacts-Groups (Contacts only, for Yahoo only) Export from 2001 script. See Entourage-to-Entourage section above.
2. Drop the text file on the appropriate EvX Calendar to Outlook or E2001 Contacts to Outlook script droplet in the Outlook Converters folder, choosing Yahoo options. This converts the .txt file to a .csv file with all the needed adaptations.
3. In the the Yahoo or Hotmail/MSN Calendar, or Yahoo Address Book, click Options/ Export-Import, or the Import tab or links, until you reach the full Import screens. Choose the Import Microsoft Outlook (CSV) option (as if you had exported from Outlook). All your data will be imported immediately.
3 Steps to Export from Yahoo to Entourage
Install Satimage scripting addition if if you've not done so previously.
1. In the Yahoo Address Book or Calendar, go to Options /Import-Export and Export to Microsoft Outlook (CSV). It will create a CSV file, clearly named "Yahoo" or "Yahoo_ab" in your internet Downloads folder or on your desktop.
2. Drop the CSV file on the appropriate Outlook Calendar or Contacts to EvX script droplet in the Outlook Converters folder, choosing Yahoo options. This converts the .csv file to a .txt file with all the needed adaptations. If importing from a non-English version of Yahoo, take the "Built-in Import" option.
3. Run the appropriate Calendar or Contacts Import into X script. See Entourage-to-Entourage section above. (If importing from a non-English version of Yahoo, use Entourage's Built-In Import Contacts feature in File menu, not the Import Contacts script, then run Apply Category to Contacts and Delete Duplicate Contacts after importing.)
Hotmail/MSN cannot export directly, but if you have access to a PC or have Virtual PC on your computer, you can synchronize the Hotmail/MSN Address Book with Outlook Express Windows and export the Address Book from there.
Details
There are paragraphs below on
¥ General
¥ Non-English Versions
¥ Outlook 2001 for Mac
General
For all imports and exports to and from Outlook and Yahoo/Hotmail (aside from direct import and export of CSV Contacts files in Outlook Mac), you must install the Satimage scripting addition provided in the Outlook Converters folder. Put it into the Scripting Additions folder in the System Folder. Satimage will convert Windows to Mac text encoding, and vice-versa, so that special characters (letters with accents or diacritic marks, mostly) transfer correctly. This is absolutely essential with non-English language versions.
Note: The scripts transfer only Contacts, Calendar Events, Tasks and Notes between Entourage and Outlook. You cannot transfer mail folders or messages from Entourage to Outlook or vice versa by script, since Outlook does not import or export full message data via text or CSV files, only via its proprietary .pst files which are not readable except by Outlook. You can transfer mail via an IMAP account (best is if you have an Exchange Server, set your email account there as IMAP: otherwise get a free IMAP account such as mac.com), access the same account and server folders in Entourage, and drag-copy them to local folders if desired. An alternate method is to use Eudora as intermediary: you can export from Outlook to Eudora Windows, move its saved mail folders as MBOX files to your Mac, and drag them into Entourage. Reverse the process to export from Entourage to Outlook.
Non-English Versions
Importing from Outlook presents a small hurdle because the converter scripts cannot recognize the field headers. Outlook preserves the order of only a few fields and the rest are alphabetized in the localized language. When importing contacts, you are guided by the Contacts converter to select the built-in Import feature in the File menu of Entourage: you cannot use the Contacts Import into 2001 script after the converter. Use the Import feature in the File menu, and then Apply Categories to Contacts script, which can also restore birthdays and anniversaries which should be blank (but look like "0/0/00" ) . With Calendar imports, you map the Location and Categories fields the first time you use the scripts, and then will never need to do so again. With Task imports, you do the same for Priority and Categories.
Exporting to Outlook should present no problems since you map your own fields during Outlook Import. Make sure you have installed the Satimage scripting addition before running the converter script.
Outlook 2001 for Mac
Outlook 2001 exports only Contacts directly to a CSV file, and omits the contact Notes. You can export to a Macintosh text file in File/Import and Export (in Outlook 2001), then use the Outlook Contacts to EvX converter, then EntourageÕs File/ImportÉ feature to import. (ThereÕs not much point using the Contacts Import script since Outlook 2001 doesn't have categories anyway.) To export Calendar, Tasks, Notes Ñ and Contacts with Notes Ñ you need access to a Windows PC with Outlook (2000 works best). As outlined in the steps above, make a Personal Folder for each Calendar, Tasks etc. folder in your Mailbox via Tools/Services/Add/Personal Folders/Add if you donÕt have one, then find the .pst files on your hard disk so created and Import each into a folder or subfolder in Outlook Windows as a .pst file. Then immediately export the same folder as a Comma Separated Values (Windows) file as in the steps for Outlook Windows.
Outlook 2001 imports only Contacts directly as a CSV file, and omits Notes and most Custom Fields. You can export from Entourage via Contacts-Groups Export script, then use EvX or E2001 Contacts to Outlook converter choosing Outlook Mac, and import the resulting CSV file to a Macintosh text file via File/Import and Export into any Contacts folder in Outlook. To import Calendar, Tasks, Notes Ñ and Contacts with Notes Ñ you need access to a Windows PC with Outlook (2000 works best). Import into Outlook Windows as a Comma Separated Values (Windows) file as described in the section immediately above. Then immediately export the same folder as a .pst file in File/Import and Export/Export as .pst. Import into Outlook 2001 via Tools/Services/Add/Personal Folders/Add. You can then copy it to your mailbox on the server if you wish.
Requirements
Microsoft Entourage 2001
Osax: To use any of the Entourage 2001 scripts in OS 9.2.2, which has AppleScript bugs, you will need to install the Akua Sweets scripting addition available free at <http://www.osaxen.com> or <http://homepage.mac.com/berkowit28/>. Akua may also help functioning in other OS 8/9.x versions as well.
To use the Outlook Converters, you must first install the Satimage scripting addition provided in the Outlook Converters folder.
